Booking Policies

We’re excited to help make your celebration extra special! Please review the following Booking Policies before reserving your party.

By completing a reservation and submitting your deposit, you acknowledge that you have reviewed and agree to these Booking Policies.

A $100 deposit is required at the time of booking to reserve your party date and time.

All deposits and payments are nonrefundable.

Your reservation is not confirmed until the required deposit has been received.

The deposit is applied toward the total cost of your party. The remaining balance may be paid at any time before the final payment deadline.

Your remaining balance must be paid in full seven (7) days before your scheduled party date.

For example, if your party is scheduled for a Saturday, your final payment is due the Saturday before your party. If your party is scheduled for a Sunday, your final payment is due the Sunday before your party.

Payment reminders are provided as a courtesy. You are responsible for making your payment by the stated due date whether or not you receive a reminder.

We understand that circumstances sometimes require additional time. If you need a payment extension, please contact Twirls & Tiaras before your final-payment deadline. 

Extensions are not automatic and must be approved by Twirls & Tiaras.

Reservations with an unpaid balance after the final-payment deadline and without a previously approved extension are subject to cancellation for nonpayment.

If your reservation is canceled for nonpayment, all payments previously made remain nonrefundable.

Receiving a cancellation notice and subsequently offering payment does not automatically reinstate your reservation.

Once a reservation has been canceled, reinstatement is at the sole discretion of Twirls & Tiaras and is subject to availability.

Your party package includes the number of guests stated in your reservation. 

Additional guests may be added before the party date for $40 per guest, subject to package capacity and availability.

Please notify Twirls & Tiaras of additional guests before your party.

Guests who were not included in the final paid guest count and arrive on the day of the party are considered Day-of Additional Guests. If we are able to accommodate them, a $50 per-guest Day-of Guest Fee must be paid before the additional guest receives any services.

Day-of guests are not guaranteed to be accommodated. Participation depends on available space, supplies, staffing, and the party schedule. Twirls & Tiaras reserves the right to decline additional guests who were not included in the reservation.

Our package pricing includes travel within 20 miles of our home base in ZIP code 64145.

Parties located outside the included service area are subject to an additional travel fee.

TRAVEL FEE SCHEDULE 

• 0–20 miles from 64145: Included 
• 21–30 miles: $75 
• 30–35 miles: $125 
• Locations beyond our standard service area: Please contact us before booking to confirm availability. 

Travel distance is determined by Twirls & Tiaras using the party address provided during booking.

If you are unsure whether your location falls within our service area or what travel fee will apply, please contact us before booking.

Twirls & Tiaras parties are offered during our established operating hours. Requests for party times outside our regular operating schedule may be accommodated on a limited basis through our VIP Booking option.

Approved VIP bookings are subject to an additional $100 VIP Booking Fee. Availability is not guaranteed and must be approved by Twirls & Tiaras before booking.

Special booking fees are based on the circumstances of the reservation and may be combined when more than one special accommodation is requested. All special booking fees are nonrefundable.

Please contact us directly if you would like to request a party outside our standard operating hours.

Regular online reservations must be made at least seven (7) days before the party date.

Requests made less than seven days before the requested party date are considered Last-Minute Bookings and must be approved by Twirls & Tiaras.

When availability allows, a last-minute party may be accepted for an additional $75 Last-Minute Booking Fee.

For all Last-Minute Bookings, the entire party balance, applicable travel fees, add-ons, and Last-Minute Booking Fee are due in full at the time the reservation is accepted.

Last-minute availability is not guaranteed. Please contact Twirls & Tiaras directly to inquire.

Your scheduled party time is reserved specifically for your celebration. Twirls & Tiaras may have additional parties scheduled before or after yours, so remaining on schedule is important.

Guests who arrive more than 30 minutes late may not be able to receive services.

Party time will not be extended because of late arriving guests, and refunds or credits will not be provided for services missed because a guest arrived late. 

Guests receiving nail services must arrive with existing nail polish removed from their fingers and toes.

Due to our party schedule, Twirls & Tiaras cannot guarantee polish-removal services during the party. Guests who arrive with existing polish may have their nail service modified or shortened to keep the party on schedule.

Party time will not be extended to accommodate polish removal, and no refund or credit will be provided for services that cannot be completed because existing polish was not removed before the party.

Because Twirls & Tiaras is a mobile spa party bus, adequate parking and safe access to the party location are required.

The client is responsible for providing a safe, legal, level, and accessible parking location for the Spa Party Bus.

The parking area must be available when we arrive and must provide sufficient space for the bus to safely enter, park, and exit.

Please consider low-hanging tree branches, narrow streets, low-clearance structures, steep inclines, tight turns, parked vehicles, gates, and other conditions that may prevent safe access.

Do not assume that because a passenger vehicle can access or park at the location, the Spa Party Bus can do so.

If you have any concerns about parking or access at your location, please contact Twirls & Tiaras before booking.

If we arrive and cannot safely or legally park the bus because adequate parking or access was not provided, we cannot guarantee that the party can proceed. Payments remain subject to our nonrefundable policy.

Setup and cleanup are handled by Twirls & Tiaras and are separate from your purchased party-service time.

Our existing agreement provides approximately 15–45 minutes for setup, depending on the package. 

Please ensure that the designated parking area is available and accessible when our team arrives so setup can begin on time.

Client-requested parties may be rescheduled up to two (2) times, subject to availability.

After two client-requested reschedules, the reservation may be canceled without refund. 

All rescheduled parties remain subject to current availability and the terms of these Booking Policies.

If Twirls & Tiaras determines that weather, road conditions, or other circumstances create unsafe conditions for our guests, staff, or vehicle, we may reschedule the party.

A safety-related reschedule initiated by Twirls & Tiaras will not count toward the client's two permitted reschedules, 

Parents/guardians are responsible for ensuring that participating children and other guests behave appropriately and respectfully.

Vulgar or abusive language, bullying, threats, physical violence, intentionally destructive behavior, or conduct that creates an unsafe environment for guests or staff will not be tolerated.

Twirls & Tiaras reserves the right to discontinue services if behavior becomes unsafe, abusive, destructive, or significantly disruptive. Your existing agreement already places responsibility for appropriate participant behavior on the parent/guardian.

The client is responsible for damage to the Spa Party Bus, equipment, décor, products, or supplies caused by the client, party participants, or guests.

The client agrees to compensate Twirls & Tiaras Spa Party Bus, LLC for damage caused by party participants or guests. 

Twirls & Tiaras takes care in selecting products intended to be kid-friendly; however, children may have allergies or sensitivities to ingredients, foods, makeup, spa products, props, or other items used during a party.

The host parent/guardian is responsible for determining whether participating children have known allergies or sensitivities and informing Twirls & Tiaras in writing before the event.

After booking, you will be required to complete our digital Party Agreement & Allergy Information Form.

If a participant has a known allergy, sensitivity, medical concern, or restriction that could affect participation, please disclose it on the form.

Twirls & Tiaras may discontinue or modify a participant's services if an allergic reaction occurs or if continuing the service would be unsafe.

Twirls & Tiaras Spa Party Bus services are provided for entertainment purposes only.

Spa services are not performed by licensed cosmetologists.

After booking, the parent/guardian responsible for the reservation must complete the Twirls & Tiaras Party Agreement & Allergy Information Form before the party.

The digital agreement includes important acknowledgments regarding party policies, allergies and sensitivities, participant behavior, assumption of risk, and other terms associated with participating in a Twirls & Tiaras event.

Failure to complete required forms may prevent Twirls & Tiaras from providing services.
